Are you an experienced Administrator looking for a stable, varied role within a professional and fast-growing fire protection company?

We're looking for an organised, reliable, and confident Office Administrator to join our team at our Manchester site. This is a key position supporting both office and site operations, ensuring our projects run efficiently and remain fully compliant.

About the Role

As the Office Administrator, you will be responsible for ensuring the smooth day-to-day running of the office and providing essential support to our project managers, engineers, and wider operational team. This is a site-based role, ideal for someone who enjoys being at the heart of a busy, hands-on environment.

You will manage a variety of administrative and coordination tasks that contribute to the successful delivery of works across multiple projects.

Key Responsibilities

* Maintain organised filing systems (digital and paper), manage incoming/outgoing post, and ensure office supplies are fully stocked.
* Handle incoming calls, emails, and enquiries from clients, contractors, and suppliers, ensuring professional and timely responses.
* Assist project managers with scheduling, booking in site works, preparing documentation, and ensuring job sheets and project details are up to date.
* Liaise with internal teams, clients, suppliers, and contractors regarding document submissions, updates, and approvals.
* Prepare and upload fire protection certificates, RAMS, and compliance documentation; ensure all paperwork meets required industry standards.
* Update internal software, maintain accurate records, track job progress, and produce basic reports as required.
* Raise purchase orders, liaise with suppliers, track delivery dates, and support stock control of materials and equipment.
* Provide admin assistance to engineers and on-site teams, ensuring they have the documentation and information they need.
* Maintain accurate logs, registers, and audit trails for all project documentation.

About You

* Previous experience in a document control or administrative/project support role (construction, engineering, or fire protection experience is an advantage but not essential).
* Strong organisational and multitasking skills with excellent attention to detail.
* Confident communicator with a positive, proactive attitude.
* Competent using Microsoft Office (Word, Excel, Outlook) and comfortable learning new systems.
* Able to prioritise workload in a busy, fast-paced environment.
* Reliable, punctual, and able to work on-site at our Manchester office.
